April 19, 2010 – Minutes of Meeting

Attendance:  Aart Looye, Don Hutchison, Irene Barrett, Nigel Barrett, Brenda Lightfoot

1)  Review and Acceptance of the previous meeting minutes.  Signed by Don and Brenda

2) Discussion of business arising from the previous minutes

        a)  Status of club (Envision) account

Mike, Jeff and Aart’s names are off the account.
Don has signed on, Nigel went to sign on Saturday but was told to make an appointment with Kevin, so will drop in one day.  Brenda is also to sign on, again.

Only one signature is required for a cheque.
Nigel received the cheques and most of the statements.  He will report our status at the next meeting.  Irene and Nigel deposited funds on Saturday, April 17, gathered from the youths’ parents for the second session.

        b)  Club Logo

Discussion and selection of the swim, bike, run circles, minus the oval with the word, “Semiahmoo” above and waves below the symbols.  Aart’s son-in-law drew these symbols so there is no copyright concern.  Aart is to send the jpeg format to Irene. 

        c) Club Gear (Tech-Ts)

Irene to purchase a total of 25 shirts which will supply each youth and adult member, plus two parent “coaches” with a shirt and provide several left over for new members.  Initial order will be black tech shirts with fluorescent yellow print, if possible.  Approximate cost is $20 / shirt plus $30/hour for art set-up – which should be minimal, given our pre-prep!

        d)  Societies Papers

Aart had the forms to complete and will process these as best as possible during the next few weeks.  Aart is off to Masters’ Championships in Edmonton next week, so good luck!

        e)  Web Site status

Don has tried to contact Vince, our website designer, with necessary changes.  So far, Don has received no responses.  Our club is listed on the TriBC website but lacks a website attachment, because our site is so out-of-date.  Don will add the up-coming youth competition dates, schedule, and possible dates for adults to consider, too!  Pictures were taken at the Ladner Leisure Centre during our pre-race practice on the weekend.  Irene will contact Dionne about possible use of these pictures.  At this time, our web site is “under construction” – Don’s work is construction…../  “in the water” right now.  Don is looking into being able to do simple changes / up-dates for site visitors. 

        f)  Club Promotion

TriBC cards were received by Brenda, April 19 and distributed to adults that night.  Discussion of the focus of the club to extend to interested adults.  Many of the youths’ parents have expressed an interest, especially as they hang around during the kids’ afternoon practices.  At this time, we are able to direct people to local, community programs that will support their pursuit of swim, bike & run training.  Many triathletes train on her/his own due to time commitments.  Until we have an adult coach / coordinator, it appears difficult to commit to a set schedule at this time.  When the weather warms up, we frequently send out emails to swim open-water at Crescent / White Rock beaches and in Langley at the private lake, there with safety in groups, our main consideration.

There are groups of cyclists who go out from Peninsula Cycles four times / week, now, and South Surrey Cycles has rides on Sunday mornings and soon to expand.  The Semiahmoo Sunrunners also has groups that go out cycling during the week and weekends, in addition to their run activities.

3)  Finances and Budget

We seem to have a good base, thanks to the youths’ programs.  Only costs so far this year have been pool rentals, paid up to May 9th and one teen coach, Alexandra Stasiuk.  Future costs this season include the tech shirts; rental of two lanes at Sunnyside Pool, Monday nights from May 31 – August 2 at $20/night, and teen coach, Alexandra Stasiuk. 

4)  Confirmation of Club Status with TriBC

Fully functional as a club. 

5)  Target Events - Youth and Adults – What will entice people to join?

Current membership provides cheaper rates at TriBC sanctioned races (lack of membership costs a participant an extra $15/race); provides 10% off equipment and services at many shops that support triathlon (local shops: Peninsula Cycles, South Surrey Cycles, TriGeeks and I believe, South Slope Cycles, too, all give 10% off with a TriBC card.)  Semiahmoo Tri club members will each receive a tech shirt!  Insurance coverage is provided in the event of an accident during schedule club events.

6)  Mission statement / purpose of the club?

To promote the safe participation in triathlon.  Until an official adult coach is present, we will connect like-minded individuals in pairing / training with others of similar ability & desire.

7)  Cost of overall participation?

Depends on investment needed in training (coaching / costs of entry) plus swim, bike and run equipment needed.  Sharing of rides to & from events and possible accommodation sharing may help!

8)  Should we be looking at a specific demographic / age group?

Many of the parents of our youths have expressed an interest.  Don, with possible help from Nigel and Aart are prepared to “gather” parents one Sunday / month to share some insights into triathlon with them.  Example: bike techniques and considerations + short, local ride. 

Brenda is the local contact through the TriBC website so she will screen people’s interests and needs, directing them to local supports.

9)  Who is going to “lead” this adult group?

1.  Youth Club
Irene Barrett and Brenda Lightfoot currently have 13 youths who signed up with the Semiahmoo Youth Triathlon Club for the 2010 season.  At this time, the # of youth registering has been restricted,   to ensure the safety, fun and skill-building for this number.  More parents and youths are hoping to join for the next session, April – June.  This is contingent upon more adults being able to assist.  The present schedule runs January to March, Sundays, 1:30 – 3:45 PM.  Cost: $5./session.  $70. which included Tri BC membership of $10 and Semiahmoo Triathlon club membership of $10.

9 of the 13 children are signed up to participate in the Delta’s Kids Of Steel Triathlon, Saturday, April 24!  More wanted to signed up but the entries are now closed!

Next session runs April – June with the UBC Aquathon, May 9.
April to May 9 dates run Sundays only.
May 31 – June 28 have options of once or twice per week. 
Mondays 6:15 – 8:15, includes 2 lanes being rented at Sunnyside Outdoor Pool from 7:30 – 8:15 PM.  
Thursdays  5:15 – 7:15 PM practices will occur at one of three locations in the Surrey area.

2.  Executive determinations
Many thanks to Michael Vipond who has acted as our Treasurer from the initiation of the Semiahmoo Triathlon Club in 2005!  Michael wishes to step down because he is not involved with the club at this time.

Brenda to submit the payment and membership details to TriBC for club status and insurance coverage.

3.  Memberships
Membership: $40 / year with $35 being submitted to Triathlon BC/ adult member.  The remaining $5 goes into the treasury for incidentals & PR promotions.

4.  Resolutions:
a)  Account signing privileges need to be amended from Michael Vipond and Aart Looye to Nigel Barrett and Don Hutchison, with only one name needed for signature.  Brenda will try to coordinate this “transition” happening for Friday, March 26, 7:30 PM at Envision  #701 - 3060 – 152 Street.

b)  Aart to email PDF copies of the Crescent Beach Triathlon logo designs from Natalie at White Rock Design so the members may select a permanent logo for the club. 

c)  Aart will approach Gord at Big Kahuna about securing tech shirts for the athletes before their participation in the Delta Triathlon.

d)  Aart to provide the “Societies” papers to ensure the Semiahmoo Triathlon club receives “Non-Profit Society” status, by the next meeting.

e)  Web site designer, Vince to be contacted for access to up-date the website.  Irene / Aart to please email the executive members with Vince’s name & email address.  (Brenda’s information disappeared when the Youth folder got erased / lost.)

f)  Don to make contact with Damian O’Hagan / Les Lommel at Peninsula Cycles; Barry Dalzell at South Surrey Cycles and Tanya Williams at Tri Geeks, to let them know that our Semiahmoo Triathlon Club is alive and growing!  These people know about our Youth Club but would benefit from hearing that our adult membership is enthusiastic and growing!
